Consular Clerk (Full-time)

Salary: The minimum salary for the position is € 23 869 per annum (Excluding benefits)

Qualifications:

A minimum of 12 years schooling is required. Must be able communicate well in both English and Dutch languages.

Experience:

Minimum of 3 years’ experience in a related field of work with proficiency in computers.  

Main responsibilities

Successful candidate will be required among others to perform the following:

  • Control the applications for entry of people from other countries travelling to south Africa and administer visas, permits, passports and residency applications. Satisfy enquiries according to South African immigration laws and policies. 

·         Maintains statistics

·         Ensures that documents are signed for when collected by applicant

·         Provides information on the above processes in line with current legislation, regulations and procedures

·         Attends to correspondence relating to these issues and replies to related enquiries

·         Processes refunds of repatriation fees

·         Responds to enquiries for information on tourism, sports and culture, etc. from telephone, letter, email and walk-in enquirers

·         Prepares statistics on face value applications and enquiries

·         Makes follow-up enquiries on applications forwarded to Head Office

·         Maintains document storage and retrieval systems and applies archive procedures

·         Prepares documents for authentication

·         Examine for completeness all applications in terms of the immigration and civic affairs legislation and directives

·      Responds to telephonic and written consular enquiries

·         Operates office equipment such as photocopiers, facsimile machines, switchboards, and computers. 

·         Receives, opens, sorts and distributes mail, sends and receives faxes

·         Relief service to Receptionist, Switchboard Operator. 

 

·         Types or prepares documents, translates and interprets, proofreads and corrects as needed

·         Welcome and admission of visitors following security and access procedures, keeping statistics of visitors and reasons for enquiry or visit, crowd management

  • Making home for South African citizens feel a bit closer

·         Assists with enquiries from citizens in distress (e.g. accommodation enquiries, removal permits in respect of transportation of deceased to RSA, or those in detention) and certain legal matters of a consular nature

·         Maintains a database of details of South Africans living abroad Liases with local officials in the case of South Africans under arrest

·         Keeping in regular contact with prisoners

 

Job Competencies:

·         Knowledge of conventions and protocols (proper format for documents etc), knowledge of local bureaucracy and methods of address

·         Computer literacy (software and hardware) MSOffice™ suite of programmes such as MS Word, MS Excel, use of Internet search

·         Telephone skills (technical and interpersonal)

·         Operate and maintain office equipment skills (switchboard, fax, photocopier, scanner, printers and shredding)

·         Communication skills

·         Language skills

·         Translation and interpretation skills

·         Organizing skills

·         Controlling skills (resources, time)

·         Time management skills (prioritizing skills)

·         The individual expected to familiarize he/himself with South African Foreign Ministry & Home Affairs business,  to get acquitted  with Rules and Regulations of Consular Code

Accountant (Full-time)

Salary: The minimum salary for the position is € 25 376 per annum (Excluding benefits)

Qualifications:

Relevant post-school qualification. Must be able communicate well in both English and Dutch languages.

Experience:

Minimum of 5-year experience in an administrative, financial or managerial capacity. Must be computer literate

Main responsibilities

Successful candidate will be required among others to perform the following:

  •     Preparation of monthly expenditure reports, including reconciliation and cashbook statements
  • Posting of expenditure and receipt vouchers into system
  • Checking expenditure vouchers and receipts against bank statements
  • Posting of monthly expenditure per item to monthly expenditure report
  • Check invoices and supporting documents and prepare for payment on expenditure voucher and other appropriate forms
  • Prepare expenditure voucher by checking invoices to ensure that goods or service have been specified correctly in relation to costs
  • Checking reimbursement claims to ensure that they are correct and in accordance with policy, and prepare for payment
  • Prepare all payments through the internet banking system
  • Accessible and up to date information
  •     Maintain working relationships
  •  Candidate is expected to understand the Service delivery ( Customer/client relationship)
